Butternut Hill dealer/vendor policies and rules:
- Dealers/vendors for Butternut Hill's showfield events must sign in at the campground office before setting up.
- The sign–in sheet for dealers/vendors will include the following information: Dealer/vendor name, mailing address, email address, phone number, space requested, fee to be paid, NYS sales tax ID number.
- Fee for spaces must be paid in full before setting up.
- Dealers and vendors selling merchandise may reserve 20X20 spaces via the online reservation system on the Butternut Hill website.
- Food vendors must contact Butternut Hill to reserve food vendor spaces, which have separate rates and vary in size.
- Refunds for 70% of full prepayment may be requested until 7 days before the start of the show by calling the campground office. No refunds will be given within 7 days of the show’s start.
- To reserve a space with a non-refundable deposit, contact Butternut Hill. Deposits are 30% of the total price.
- For those who paid a deposit but fail to show up by 3 p.m. the first day of the show and pay the outstanding balance, the deposit and space will be forfeited, and the space will be offered to other dealers/vendors who have requested space. For those who paid the full amount in advance but fail to show up, the space will remain available to the dealer/vendor for the remainder of the show, even if the space remains vacant for the entire show.
- All dealers/vendors must have a NYS tax ID number, and must provide it during sign-in at the campground office.
- Dealers/vendors must provide their own tents, canopies, tables and chairs. Tents and canopies must be fire retardant and properly staked with guy ropes. Tents must be staked securely and able to withstand high winds and heavy downpours. The campground owners reserve the right to take down any tents that appear to be unsafe.
- Each dealer/vendor receives two free parking passes good for the duration of the event. Each additional parking pass costs $15 for the August antique show and $5 for all other shows. There is a limit of four parking passes per dealer/vendor space.
- Dealers/vendors must park in the designated area at the rear of the campground. Note: Dealers/vendors who need to keep their vehicle or utility trailer at their vendor booth during the event may need to rent an additional adjacent space, as each space is 20 X 20.
- Dealers/vendors may not exceed their allotted 20X20 space. All stakes and guy ropes must remain within the 20X20 space. Dealers/vendors must keep everything within their space’s parameters.
- No smoking permitted in tents or booths.
- Dealers may begin setting up no earlier than 9 a.m. the day before the start of the June antique show and no earlier than 9 a.m. the Saturday before the August antique show. Once dealers set up, it's up to them when they want to start selling. Contact Butternut Hill for more information regarding setup and start times.
- Butternut Hill is not responsible for any lost, damaged or stolen items before, during or after the show.
- Follow signs for entering and exiting the campground during shows.
- Dealers/vendors may use a 20-amp electrical outlet as available at designated dealer/vendor spaces for an additional charge of $15 per day. No EV charging is permitted at these outlets at any time.
- Food vendors pay $25 per day for 20-amp electrical outlets.
- Payment is due for electrical access at time of check-in.
- Coin-operated showers are available. They require tokens. See the campground office for the purchase of tokens.
- Dealers/vendors are responsible for taking care of their own trash. A dumpster is available at the campground.
- All dealers must fully depart from the premises no later than noon the day after the show concludes.
- Dealers/vendors must leave their spaces in good, clean condition upon departure.
- No subletting of spaces.
- Food vendors must show proof of all necessary permits, including Madison County health department permits.
- Butternut Hill management reserves the right to remove any dealer/vendor who violates this agreement, behaves in a manner that endangers or threatens other dealers/vendors or guests, or causes a disturbance.
